How to Tell Your Boss You're Quitting

The conversation matters more than the letter. Here is how to plan it, what to say, and how to follow up in writing the same day.

Step by step

  1. Ask for a short private meeting

Send a neutral note: "Do you have 15 minutes today or tomorrow? I would like to talk something through." Early in the week is best.

  2. Lead with the news

Do not build up to it. "I wanted to tell you first: I have decided to resign. My last day will be [date]."

  3. Say thank you, briefly

Name one thing you appreciated. Keep it sincere and short.

  4. Offer a handover plan

Mention what you will document and who could take over. Bring a rough list.

  5. Handle questions calmly

You can decline to share where you are going or why. "I would rather keep that private, but I want to make this easy for the team."

  6. Follow up in writing

Send your resignation letter or email the same day so HR has the date on record.

What if your boss reacts badly?

Stay calm and stick to the facts: your decision, your last day and your handover plan. You do not need to defend the decision. If the conversation becomes hostile, say you will follow up in writing and end the meeting.

Remote or hybrid teams

Use a video call rather than chat when you can. If your manager is unavailable for days, ask for a call and send the written notice after it, or send the notice and offer to talk if timing matters.

What not to say

  • Criticism of the team or company
  • Comparisons with your new salary
  • "I might stay if…" unless you genuinely would

Frequently asked questions

Should I tell my boss before HR?

Yes, in most cases. Hearing it from HR first is awkward for your manager. Then follow your company's process for HR.

Can I tell my boss over email?

You can, especially for remote roles, but a call or meeting first is more respectful. Send the email as written confirmation.

What if they make a counteroffer on the spot?

Thank them and say you would like time to consider it, or say your decision is final. Our counteroffer guide covers how to decide.
